đź“‹Quick Answer: What Shop Policies Do I Need?

Etsy requires shop policies for all sellers. At minimum, you need: shipping policy (processing times, carriers), return/exchange policy (timeframe, conditions), and payment policy (accepted methods, when you charge). Optional but recommended: privacy policy, custom order policy, wholesale terms. Use the templates below—fill in your specifics, paste into Etsy, done.

Why Shop Policies Matter

Policies aren't legal fine print—they're sales tools

Clear policies answer buyer questions before they ask, reduce "is this item returnable?" messages, and set expectations that prevent disputes.

What happens without policies:

  • Buyers assume free returns (even if you don't offer them)
  • You get repeat questions about shipping times
  • Etsy may side with buyers in disputes because you didn't state terms
  • Professional buyers move on to shops with clear policies

What good policies do:

  • Increase conversion rates by reducing purchase anxiety
  • Protect you in "item not as described" cases
  • Set clear boundaries (no rush orders, no refunds on custom items)
  • Make you look established and trustworthy

Etsy shows policies on every listing page. Buyers check them. Treat this section like an extension of your product descriptions.

Shipping Policy Template

Processing times, carriers, tracking, and lost packages

Your shipping policy tells buyers when items ship, how they ship, and what to do if something goes wrong. Be specific—"ships quickly" means nothing.

PROCESSING TIME
Orders ship within [1-3 business days / 1 week / 2 weeks] of purchase. Custom orders may take [timeframe]. Processing time does NOT include shipping time.

SHIPPING METHODS
[Domestic/US orders]: USPS First Class (3-5 days) or Priority Mail (2-3 days)
[International orders]: USPS First Class International (2-4 weeks, no tracking) or Priority Mail International (1-2 weeks, tracked)

SHIPPING UPGRADES
Need it faster? Select expedited shipping at checkout. Overnight and 2-day options available for US orders.

TRACKING
All US orders include tracking. International tracking available with Priority Mail upgrade.

LOST OR DAMAGED PACKAGES
I'm not responsible for lost or stolen packages once tracking shows "delivered." If your package is damaged in transit, contact me within 48 hours with photos—I'll work with you to resolve it.

CUSTOMS & DUTIES (International)
International buyers are responsible for any customs fees, duties, or taxes. I'm not responsible for delays due to customs processing.

Customization notes:

  • If you use Printful, Printify, or print-on-demand: Change processing time to "7-10 business days" (or whatever your supplier's time is)
  • If you ship same-day: Emphasize this—it's a competitive advantage ("Orders placed before 2pm EST ship same day")
  • If you don't ship internationally: State "US orders only at this time"
  • If you offer free shipping: Add "Free shipping on all US orders over $[amount]"

Return & Exchange Policy Template

Standard returns vs custom items

Returns are tricky on Etsy. You're not Amazon—you don't have to accept all returns. But refusing all returns scares buyers. Find a middle ground.

Template (Standard Returns Accepted):

RETURNS
I accept returns within [14 / 30] days of delivery. Items must be unused, in original condition, and in original packaging.

To start a return:
1. Message me within [14/30] days of delivery
2. Ship the item back within 5 days of approval
3. Buyer pays return shipping unless the item arrived damaged or incorrect

Refunds are issued within 3 business days of receiving the returned item. Original shipping costs are non-refundable.

EXCHANGES
I'm happy to exchange items for a different size, color, or style within [14/30] days. Message me to arrange an exchange—I'll cover shipping on the replacement item.

NON-RETURNABLE ITEMS
Custom or personalized items cannot be returned unless they arrive damaged or I made an error. Digital downloads are non-refundable.

Template (Limited Returns / Custom Items):

RETURNS
Because all items are made-to-order / custom / personalized, I cannot accept returns or exchanges except in these cases:
- Item arrived damaged during shipping
- I made an error (wrong color, size, personalization)
- Item significantly differs from listing photos or description

If any of these apply, contact me within 48 hours of delivery with photos. I'll send a replacement or issue a full refund (including shipping).

CUSTOM ORDER APPROVAL
For custom orders, I'll send a proof/photo before shipping. Once you approve, the order is final. Review carefully before approving.

Customization notes:

  • If you sell vintage: "Vintage items are sold as-is. I describe condition accurately, but I don't accept returns on vintage unless I misrepresented the item."
  • If you sell consumables (soap, candles, food): "Due to health regulations, I cannot accept returns on [category]. If you're unhappy, message me—I'll work with you."
  • If you want to be generous: "Not happy? Message me. I'll make it right." (vague, but builds goodwill)

Payment Policy Template

Accepted methods and when charges occur

Etsy handles payments, so this section is short. Clarify when you charge and what methods you accept.

ACCEPTED PAYMENT METHODS
I accept all payment methods offered by Etsy: credit/debit cards, Etsy gift cards, Apple Pay, Google Pay, and PayPal (where available).

WHEN YOU'RE CHARGED
Your card is charged immediately when you place an order. For custom orders, I may send a separate payment request if additional costs apply (you'll approve before I charge).

SALES TAX
Etsy automatically collects sales tax where required. This is added at checkout and remitted by Etsy.

Customization notes:

  • If you offer payment plans (via Klarna, Afterpay on Etsy): "Payment plans available at checkout via [Klarna/Afterpay]"
  • If you accept custom payment requests: "For large custom orders, I can send a separate invoice. Message me before ordering."

Privacy Policy Template

Data collection and usage transparency

Privacy policies are technically required if you collect customer data (email, address) or use analytics. Since Etsy collects data on your behalf, you need one.

INFORMATION I COLLECT
When you place an order, Etsy shares your name, shipping address, and email with me so I can fulfill your order. I do not collect payment information—Etsy handles that.

HOW I USE YOUR INFORMATION
- To fulfill your order (shipping, personalization)
- To communicate about your order (shipping updates, questions)
- To comply with legal obligations (tax records)

I will never sell, share, or spam your email. I only use it to fulfill your order and respond to messages.

THIRD-PARTY SERVICES
I may use third-party services to fulfill orders (e.g., print-on-demand partners, shipping carriers). These partners receive only the information necessary to complete your order.

DATA RETENTION
I retain order information for [7 years] for tax and accounting purposes. If you'd like me to delete your information sooner, message me.

Custom Order Policy Template

Process for custom requests

If you take custom requests, spell out how the process works. Otherwise, you'll get "can you make this in purple?" messages all day.

CUSTOM ORDERS
I accept custom orders! Message me before placing an order to discuss:
- Design/personalization details
- Materials, colors, sizes
- Timeline and pricing

CUSTOM ORDER PROCESS
1. Message me with your idea and deadline
2. I'll respond within [24/48 hours] with a quote and timeline
3. Once you approve, I'll create a custom listing for you
4. You place the order and I start work

TIMELINES
Custom orders take [1-3 weeks / longer than standard items]. I'll give you an exact timeline when I quote your project.

APPROVAL & CHANGES
For custom orders, I'll send a proof/design mockup before starting. Once you approve, changes may incur additional fees. Review carefully.

CUSTOM ORDER RETURNS
Custom orders are non-refundable unless I made an error or the item arrived damaged. Make sure we're aligned before you approve the design.

Wholesale & Bulk Order Policy Template

Discounts for bulk purchases

If you're open to wholesale, make it easy for buyers to reach out. Don't make them guess.

WHOLESALE INQUIRIES
I offer wholesale pricing for bulk orders of [10+ / 25+ / 50+] units. Message me with:
- Quantity you're interested in
- Which items
- Your deadline

I'll respond with a custom quote and timeline.

BULK ORDER DISCOUNTS
Buying multiples for an event or gifts? I offer discounts on bulk orders:
- 5-9 items: 10% off
- 10-24 items: 15% off
- 25+ items: 20% off

Message me before ordering and I'll create a custom listing with the discount applied.

Additional Policies to Consider

Cancellations, rush orders, and gift wrapping

Depending on what you sell, you might need additional policies:

Cancellation Policy

CANCELLATIONS
You can cancel your order within [12/24 hours] of purchase for a full refund. After that, orders are in production and cannot be cancelled. Message me ASAP if you need to cancel.

Rush Order Policy

RUSH ORDERS
Need it fast? I offer rush processing for an additional fee:
- 3-day processing: +$[amount]
- 1-day processing: +$[amount]

Message me before ordering to confirm I can meet your deadline. Rush fees are non-refundable.

Gift Wrapping Policy

GIFT WRAPPING
Gift wrapping available for $[amount]. Select the gift wrap option at checkout. I'll include a handwritten note—add your message in "notes to seller."

Update as needed

Policies aren't set in stone. Change processing times during holidays, update return windows, add new sections

of buyers read shop policies before purchasing
3x
more disputes in shops without clear return policies
45%

Shop Policies Best Practices

Common Mistakes to Avoid

❌Don't Do This

  • •Copy policies from another shop word-for-word (customize to your business)
  • •Make policies too strict (no returns ever = lost sales)
  • •Leave sections blank ("I'll figure it out later")
  • •Contradict yourself (policy says 30-day returns, listing says no returns)
  • •Use ALL CAPS or aggressive language
  • •Forget to update processing times during busy seasons

âś…Do This Instead

  • •Be specific (not "ships fast"—say "ships within 2 business days")
  • •Use plain language (not legal jargon)
  • •Update policies for holidays or vacations
  • •Link to policies in your shop announcement
  • •Reference policies when answering repeat questions ("See my return policy for details")
  • •Set boundaries ("I don't accept rush orders")

Frequently Asked Questions

Everything you need to know about Etsy shop policies.

Yes. Etsy requires shipping, return, and payment policies for all sellers. You can't list items without completing these sections. Privacy and custom order policies are optional but recommended.
Yes, but with caveats. You can refuse returns for custom/personalized items. For standard items, refusing all returns may hurt sales—buyers prefer shops with return options. Consider "returns accepted within 14 days, buyer pays return shipping" as a middle ground.
Be realistic. If you make items to order, 3-5 business days is common. If you use print-on-demand (Printful, Printify), set it to 7-10 business days. During holidays, add 2-3 days. Under-promise and over-deliver.
Not directly. Policies don't contain keywords or show up in search. But they do affect conversion rates—clear policies reduce cart abandonment and increase buyer confidence, which can improve your listing quality score over time.
If a buyer opens a case and your policies contradict what happened, Etsy may side with the buyer. Example: Your policy says "ships within 3 days" but you didn't ship for 2 weeks—buyer wins. Policies are legally binding once posted.
No. Shop policies apply to your entire shop. If you need item-specific terms (e.g., "this custom necklace is non-refundable"), state it in the listing description AND in your return policy ("custom items are non-refundable unless I made an error").
Only if you're still experiencing them. Outdated "due to COVID" language in 2026 makes you look out-of-touch. If you're dealing with supply chain issues, say "processing times may be longer due to material availability—I'll update you if your order is delayed."
Shop Manager → Settings → Policies → Edit any section → Save. Changes take effect immediately and apply to all current and future listings.
